# ADoor vs Smartsheet

Smartsheet is a work management platform for projects, programs and processes, built on sheets, reports and dashboards. ADoor is a data account for any records a company or a person keeps, set up from a chat with an assistant like ChatGPT, where every person, app, assistant and job gets its own access.

## Where ADoor stands out

### Each assistant gets its own access

Smartsheet's MCP server signs in with your personal API token or with Smartsheet OAuth, so the assistant works as you. In ADoor, each assistant has its own access, down to one list or field, and never more than the person who connected it.

### Hidden fields, separate actions

Smartsheet can lock rows and columns so they can't be edited. ADoor can hide a field from a person or an assistant altogether, and reading, adding, editing and deleting are separate permissions.

### CI without a stored token

Smartsheet's API and MCP server take a personal API token as a Bearer header. In ADoor, a GitHub Actions job signs in with short-lived access, 15 minutes by default, and nothing is stored in the repository.

## The products

### Smartsheet

Smartsheet runs projects and programs on sheets, with Gantt timelines, reports, dashboards and forms.

Assistants
: A hosted MCP server with 30+ tools for sheets, rows and columns

Access
: Sheet sharing, private sheets, and locked rows and columns

Change history
: Cell history with user and timestamp, and an activity log per sheet

Plans
: Pro is $9 per member a month billed yearly, or $12 monthly, with unlimited free contributors. A 30-day free trial.

### ADoor

ADoor is your data account. You keep lists and tables in a workspace you own, personal or team: a reading list, an incident log, a list of customers. Describe what you want to keep track of and it's set up for you, with real Postgres underneath. Every person, app, assistant, device and job gets its own access.

Assistants
: ChatGPT, Claude, Grok and Cursor connect through MCP with a sign-in.

Apps and scripts
: An HTTP API with keys, running the same actions assistants use

Access
: Per space, list or field, or just the entries where a field equals a value you choose. Reading, adding, editing and deleting entries, and changing a list's fields, are separate permissions. An assistant never gets more than the person who connected it.

Approvals
: Agents ask for more access and you approve or deny. A new device signs in only after you approve it and choose its access.

CI jobs
: GitHub Actions signs in with short-lived access, 15 minutes by default and up to 30 days, with no stored secret.

Revoking
: Takes effect on the next request. What was already saved stays.

History
: A history of changes, with who made each one and the before and after

Underneath
: Standard Postgres

Plans
: Free for 3 tables and 100 rows. Pro is $10 a month per workspace, with 1 GB of storage.

## Which one should you use?

### Use Smartsheet when

you're running projects and programs and want timelines, dashboards and resource views out of the box.

- **Gantt charts and dashboards.** Timeline views, reports and dashboards come with the product. ADoor has no charts or timelines.
- **Many outside contributors.** Contributors can view, comment and submit forms for free, and Business adds free guests who can edit.
- **Portfolio management.** Advanced Work Management and resource tools cover programs across teams.

### Use ADoor when

the sheet has become the record that scripts, assistants and other teams depend on, and each needs its own access.

**Technical**
- Your deploy pipeline adds each release to a Releases list with 15 minutes of access, so the program manager sees what shipped without a token living in CI.
- A monitoring service writes outages to an add-only Incidents list, which reporting jobs read in SQL.

**Personal**
- The kitchen renovation: contractors, quotes, what you've paid and what's left. Your partner edits it, and the builder sees only the Schedule field.
- Your wedding guest list with RSVPs and dietary needs. The caterer reads the meal choices and nothing else.

**Team**
- Engineering, design and marketing share one Launch list. Marketing edits dates, engineering edits status, and the release bot adds entries but can't delete them.
- A history of changes shows who moved each launch date and what it was before.

**Business**
- A company-wide supplier list where procurement edits contracts, and only legal sees the Liability cap field.
- A consultancy gets one space for the transformation program. When the engagement ends you revoke it, and its entries stay.
